Hotels list meeting rooms in phuket with a capacity chart and a floor plan. Package prices come on a separate sheet. Many of these rooms are ballrooms that also host weddings and private dinners. The same space can be set for a banquet on Saturday and a sales conference on Monday. Planners compare the floor plan and the package terms first.
One Room, Several Capacities
Hotel fact sheets list a capacity for each layout. The same room can hold very different numbers.
- Theatre style. Rows of chairs facing the stage. The highest count.
- Classroom style. Narrow tables with chairs on one side, at roughly half the theatre number.
- U shape. Tables in a horseshoe, good for 20 to 30 people who need to talk to each other.
- Boardroom. One long table for small senior groups.
- Banquet rounds. Round tables of 8 to 10 chairs.
Fact sheet capacities assume every seat is filled. Real numbers come in lower once a projector table and a registration desk are added.
Room Shape and Light
Floor plans show square metres. They do not always show pillars. Some ballrooms have a column near the middle, and guests seated behind it cannot see the screen.
Windows with sea views look good in photos. During a presentation, bright afternoon light washes out the projector image. Blackout curtains solve this. Some rooms have them. Many don’t.
Sound and Technical Needs
Ballrooms can be divided with movable walls. Each section then works as a separate room. Sound still passes through the walls to some degree, and applause or music from one section can be heard in the next. Planners ask the hotel which events are booked in the neighbouring sections.
Wireless internet speed appears on few fact sheets. A connection that handles email for 10 people can fail when 80 people join a video call. Many hotels offer a dedicated line for the event at an extra fee.
Hotels supply wireless microphones for most rooms. Spare batteries and a backup microphone are part of a standard technical setup. Larger hotels keep a technician on site. At smaller ones, the technician is often on call from another building.
Packages, Breaks and Meals
A day delegate package is priced per person. It includes room hire and food, normally two coffee breaks and a lunch. A basic projector and screen are part of some packages. Others charge for them separately.
Packages also come with a minimum number of attendees. If numbers drop below it, the hotel charges for the minimum anyway. The contract for meeting rooms in phuket lists this minimum and a deadline for final numbers.
Coffee breaks at resorts are often served on an outdoor terrace. Afternoon temperatures are high, so some hotels move the second break indoors.
Rain Plans and Free Time
Many company meetings at resorts include free time in the programme.
Rain in the wet season often falls in short, heavy afternoon showers. For outdoor dinners, hotels can hold an indoor room as a backup on the same night. Some charge a reduced rate for this.
Free time after lunch often runs long. For this reason, some programmes place it at the end of the working day.
Coach access matters for larger groups arriving together. Hotels with a covered drop off point keep guests dry during rain.
